PARTY TERMS AND CONDITIONS

These conditions set out the basis on which we provide service.

 

BOOKING | DEPOSITS | BALANCE PAYMENTS

A booking inquiry can be made in person, by telephone, or online.

Please note that an inquiry does not in any way confirm a party as booked. Ball Factory will confirm the availability of your chosen date and time. Ball Factory will NOT hold your spot until the deposit is received.

 

Payment for the Party Package will be due in the following installments:

  1. A non-refundable deposit of $200 is required to secure your booking. Payments can be made in cash or by debit/credit card. Payment of a deposit to book a party confirms acceptance of these terms and conditions. All bookings are deemed to have read and accepted our terms and conditions.

  2. Final guest numbers and payment for such are required 10 days before the event to ensure your party can be catered for. When confirming your final party numbers, please consider that we cannot offer any form of refund once your additional guest final payment has been processed; we are happy for you to call us up to two working days before your party to increase your numbers within reason. In the event that party bookings are made less than ten days before the party due date, additional guest balances must be paid in full. Where full party payments (over and above the minimum numbers required for your party) are made at the time of booking or when guests are added, Ball Factory will assume these numbers to be definite, and no refund will be given for any overpayment due to lesser attendance of guests on the day.

  3. 50% balance payment is required 10 days prior to the event for PRIVATE PARTY EVENTS.

  4. Balance payments are due on the day of your party and will be required PRIOR TO COMMENCEMENT.

  5. TIPS are NOT automatically calculated and are at the party parents’ sole discretion, with the exception to AFTER HOURS PRIVATE PARTY when 15% GRATUITY is automatically added to your bill.

 

WAIVER

It is the party parents’ responsibility to distribute WAIVERS before your birthday party. Any child or adult without a release form signed will not be allowed to participate.

 

CANCELATIONS

THE DEPOSIT IS NON-REFUNDABLE AND NON-TRANSFERABLE.

Ball Factory is not responsible for last-minute cancelations, sickness, and no-shows, and no refunds will be given.

If you have to reschedule upon giving AT LEAST 30 DAYS’ notice, Ball Factory will allow a one-time date change with NO REBOOKING FEE.

If you give us LESS THAN 30 DAYS’ cancelation notice, the DEPOSIT IS FORFEITED.

Reschedule requests with less than 30 DAYS’ notice are subject to our review. In certain circumstances, a transfer of deposit to an alternative date may be considered but is at the absolute discretion of Ball Factory, and a $50 fee will be charged.

 

ARRIVAL | DEPARTURE

To ensure a smooth check-in process, the Party Organizer should arrive 5 minutes before the start of the scheduled party time to greet your guests. If you arrive earlier than your scheduled time, you may be unable to access the party room until your allocated party time begins. We DO NOT recommend coming any sooner as space is limited, and there will likely be another group in the party room /café area. If your Party Guests arrive earlier – we will check them in for open play. To request any variations to this rule, please contact us to verify the schedule and see if we can try to accommodate your request. If Party Organizer is not at the facility for the greeting time, all guests checking in to the event will be counted towards the final bill.

AS A COURTESY TO THE NEXT PARTY. PLEASE HELP YOUR GUESTS LEAVE THE PARTY ROOM PROMPTLY AT THE END OF YOUR PARTY SO WE CAN PREPARE FOR THE NEXT FAMILY.

The Party Organizer must ensure that the party-room is vacated with all belongings at the end of the allocated party time.

The Party Organizer must ensure that all guests leave the building at the end of the allocated party time. If the Party Organizer or guests do not leave the building at this time, we reserve the right to charge for additional time spent on the premises.

 

MINIMUM NUMBERS FOR OUR PARTY PACKAGES

The Party package has a minimum number of 10 guests except for our Private party, which has a minimum number of 25 children.

Party guest cannot be downgraded less than 10 days prior to the party date

We reserve the right to refuse extra party guests if you have reached your maximum capacity for your party area.

 

GUEST COUNTS

All children 12 months to 12 years old (guest of honor, siblings, friends, etc.) are subject to count. If more kids show up on the day of the party, we will adjust your counts UP and charge an additional $35 per child. The fee does not include food, but juice and setup will be provided. NO refunds will be given if kids count on the day of the party is less than provided by you ahead of time (a minimum of 24 hours’ notice is required). If your guests opt to bring extra siblings to the party that is not party guest, they will need to pay the full party admission prices applicable.

 

UNEXPECTED PARTY GUESTS

We can cater for up to two additional kids' party guests on the day without notifying us. The extra guests will be added to your final invoice and need to be paid for by the party organizer.

 

CAKE | SWEET TABLE

The Party parent will provide the Birthday Cake and Candles (only ordinary candles – sparklers and fountain candles are not permitted)

You can arrange your sweet table with cake and other sweets as well. No other food or beverage is allowed. We cannot accommodate (refrigerate/freeze/store aside) your cake and sweets under any circumstance.

 

ADULT CATERING AND PARTY EXTRAS

If you require adult food add-ons (catering), we recommend you process your order 10 days prior to your event. The very latest to order adult catering and/or party extras would be three working days prior to the party. You may purchase favors, beverages a la carte at your event, subject to stock on hand. Additional food orders are subject to delivery schedules & fees and may not be available on the day of your event. ORDER AHEAD OF TIME!

We don’t allow outside food and beverage in the facility for kids or adults.

ALL LEFTOVER FOOD/SWEET ITEMS MUST BE CONSUMED|PACKED IN THE PARTY ROOM. NO CAKE/PARTY FOOD ALLOWED IN THE CAFÉ AREA.

 

PARTY ROOM SETUP

Tables and chairs will be allocated to your party room based on the final guest count. Please do not place more tables in the room or reorganize the table settings for safety reasons. Additional guests may have to stand. Please adhere to each party's room capacity limits. Headcount limits (adults/kids combined) are different per location and party package. Parents and Adults are welcome to hang out at the café area or play floor at any time during the party! Café seating is limited and is on a first-come, first-serve basis – no reservations. Call/email us with questions.

 

DECORATIONS | THEMING | BALLOONS

You’re welcome to use your decorations and paper products in the party room. To preserve the integrity of our party rooms, decorations are limited to TABLETOP DÉCOR ONLY. We do not permit wall or ceiling decorations, streamers, silly string, confetti, banners, glitters, sprays, or piñatas. Nothing can be attached to furniture, doors, or door frames. Helium balloons must be connected to weight. 

PLEASE BE CONSIDERATE OF THE TIME – YOU HAVE 2 HOURS. All items used to assemble your event must be placed in your vehicle by the end of your scheduled time.

For custom setups requiring more time, we recommend party extensions, subject to availability, and additional cost. Give us a call/email us to check if we can still accommodate. It depends on our schedule and staff availability.

No spray-foam, poppers, streamers, confetti or pinatas are permitted.

No decorations are permitted on the walls of the party room, café, or play area as this causes damage. Freestanding decorations are allowed and must be within reason to allow for quick clean-up during the scheduled party time.

Decorations/Theming or Balloons, either by the Party Organizer or their guests, must be approved by Ball Factory before your event.

Ball factory party host will be dedicated to administering arrivals and organize your party room time. Party parent/guardian will be responsible for the care and supervision of all guests, including children who are left by their parents while attending your child’s party

 

GIFTS | GOODIE BAGS | FAVORS

GIFTS are allowed in the party room. We do not recommend opening them as you may run out of time quickly. Please be considerate, as we will not be able to extend your party time and you need some time to help your guests leave the party room promptly at the end of your party so we can prepare for the next family. NO GIFTS IN THE CAFÉ AREA, no exceptions - ALL MUST BE PLACED IN YOUR VEHICLE WITHIN YOUR PARTY TIME FRAME. 

 

GOODIE BAGS | FAVORS are allowed – however, they must be handed out to kids when they are leaving the facility. Please do not hand it out at the end of the party if you know that the child will stay for open playtime. We do not allow toys/small items in the play area.

 

GENERAL

You are welcome to photograph/film your party however please respect the privacy of others and avoid photographing/filming in public areas.

The Party Organizer should inform Ball Factory of any food allergies so that we can discuss alternative options.

Each party guest will be given a party-specific wristband on entry. It is essential that guests keep the band on throughout the party. Please advise our party hosts if your child has any potential allergic reaction to our wristbands.

It is obligatory for all parents and guardians to supervise their children at all times for the duration of their party. Ball Factory cannot accept any responsibility for any accidents that occur due to unsupervised play.

No outside Food (except Birthday Cakes) or Drinks are to be brought into Ball Factory under any circumstances

 

SOCKS | MASKS | CLOTHING | STROLLERS

Please inform all guests of our MASK policy. All adults and kids 3+ are required to wear one.

Please ask all guests to wear suitable long-sleeved clothing when using our facilities – particularly our slides. Please have all children wear comfortable clothes with no glitter and confetti.

All guests (both adults and kids) MUST wear socks during their entire visit, or they cannot enter the play area floor and attractions. No shoes are allowed past the play floor entrance, even if not playing. Strollers (like shoes) are not permitted in the play area and are best left in your vehicle as there is limited space in the stroller parking area or party room. We also do not allow strollers in the café area due to limited space, and we will ask you to park them in the designated stroller area.

 

OUTSIDE SERVICES

Face painters and tattoo artists are not allowed at Ball Factory-no exceptions

Ball Factory must approve parties wishing to bring or use the services of companies supplying characters/mascots. Valid business registration and public liability insurance certificate will be required at least 10 days before your party to allow participation. No Crafts, NO Horns, NO music equipment are permitted for the safety, cleanliness, and integrity of services we provide.

 

RULES OF PLAY

All visitors must adhere to the rules of play displayed.

Some play areas are age-specific, and children over specific posted height or age will not be permitted.

For hygiene and safety reasons, socks must be worn at all times by both children and adults
