PARTY TERMS AND CONDITIONS
These conditions outline the basis on which we provide our service.
BOOKING | DEPOSITS | BALANCE PAYMENTS
A booking inquiry can be made in person, by telephone, or online.
Please note that an inquiry does not confirm a party as booked. Ball Factory will confirm the availability of your chosen date and time. Ball Factory will NOT hold your spot until the deposit is received.
Payment for the Party Package will be due in the following installments:

A non-refundable deposit of $200 ($400 for a PRIVATE EVENT or FAMILY PARTY) is required to secure your booking. Payments can be made in cash or by debit/credit card. Payment of a deposit to book a party confirms acceptance of these terms and conditions. All bookings are deemed to have read and accepted our terms and conditions.

Ten days before the event, a 50% non-refundable payment is required for PRIVATE EVENT, PRIVATE PLAY & CELEBRATE.

Final balance payments are due on the day of your party at check-in time and must be made before commencement.

The name of the credit card used must match the name of the person booking the event. The remaining balance must be paid in person. The facility accepts cash or credit cards, provided a matching ID is presented. Please have a credit card used for deposit payment with you for verification.

TIPS are NOT automatically calculated and are at the party's parents’ sole discretion, except for AFTER HOURS PRIVATE EVENT and PRIVATE PLAY & CELEBRATE, where 10% GRATUITY is automatically added to your bill.
WAIVER
The party parents’ (organizers) responsibility is to inform their guests of the need and distribute WAIVERS before their birthday party. Any child or adult without a release form will not be allowed in the facility.
CANCELATIONS
Deposits are non-refundable under any circumstances. The deposit amount may vary depending on the event scheduled. Private events require prepayments, which are considered deposits and are non-refundable. If we are unable to contact you, we reserve the right to cancel your event, and your deposit will be forfeited.
RESCHEDULING

30 or more days until the event
​To honor your initial deposit upon rescheduling, you must provide at least 30 days' notice. Otherwise, your deposit will be forfeited. You are allowed one courtesy reschedule per deposit. A new date must be scheduled within 30 days from the cancellation date. Otherwise, the deposit is forfeited. It is your responsibility to reschedule within the 30-day time frame. If you are unable to attend your rescheduled event, your deposit will be forfeited, and you will need to make a new deposit to book again. The rescheduled window is 3 months.

Less than 30 days before the event
If you need to reschedule your event and it is more than 48 hours but less than 30 days before the event, you will be charged an additional $50 rescheduling fee, and a new deposit will be required. We will transfer the existing deposit once, which will be applied as a credit towards your new party. None of the amounts is refundable, and the credit will not move forward with the event. ​ Ball Factory requires at least 48 hours' notice to make any changes to your booking.

Less than 48 hours notice
While we understand that life can be unpredictable, we require at least 48 hours' notice to make any changes to your booking. Attempting to reschedule your event with less than 48 hours' notice is considered a cancellation and will result in the forfeiture of your deposit. If you do not attend your event, your deposit will be forfeited. A new booking deposit will be required to secure a new party booking.
LATENESS POLICY
Please call us if you will be late. Being more than 15 minutes late to your event may result in the forfeiture of your deposit and cancellation of your event. A new deposit will be needed to book any events canceled due to lateness. If you are traveling from out of town, please allow extra time to account for potential traffic delays. Event time frames remain the same; if you are late, you forfeit part of your event.
ARRIVAL | DEPARTURE
To ensure a smooth check-in process, the Party Organizer should arrive 5 minutes before the scheduled party time to greet your guests. If you arrive earlier than your scheduled time, you may be unable to access the party room until your allocated party time begins. We DO NOT recommend coming any sooner as space is limited, and another group will likely be in the party room /café area. If your Party Guests arrive earlier, we will check them in for open play. To request any variations to this rule, please get in touch with us to verify the schedule and determine if we can accommodate your request.
If the Party Organizer is not present at the facility by the greeting time, all guests checking in to the event will be included in the final bill.
AS A COURTESY TO THE NEXT PARTY. PLEASE HELP YOUR GUESTS LEAVE THE PARTY ROOM PROMPTLY AT THE END OF YOUR PARTY SO WE CAN PREPARE FOR THE NEXT FAMILY.
The Party Organizer must ensure the party room is vacated with all belongings at the end of the allocated party time.
The Party Organizer must ensure all guests leave the building at the end of the allocated party time. If the Party Organizer or guests do not leave the building at this time, we reserve the right to charge for additional time spent on the premises.
INCLUDED NUMBERS FOR OUR PARTY PACKAGES
Each party package is tailored to a specific number of guests.
We reserve the right to refuse extra party guests if you have reached your maximum capacity for your party area.
FINAL GUEST COUNTS
You can call us up to a day before your party to adjust your numbers. You cannot exceed the stated maximum capacity per party booking. If you expect higher attendance than anticipated, we may ask you to reschedule if we cannot accommodate it due to other arrangements and no room is available. We are unable to adjust to fewer guest counts on the day of your event, so when guests are added, Ball Factory will assume these numbers to be definitive. No invoice adjustments or refunds will be given for any overpayment resulting from lower attendance on the day of the party.
All children 12 months to 12 years old (guest of honor, siblings, friends, etc.) are subject to the count. If more kids show up on the day of the party, we will adjust your counts and charge an additional $35 per child. The fee does not include food, but juice and setup will be provided. No refunds will be given if the number of children counted on the day of the party is less than the number provided in advance (a minimum of one day's notice is required). If your guests opt to bring extra siblings to the party that is not party guests, they will need to pay the total party admission prices applicable.
UNEXPECTED PARTY GUESTS
We can accommodate up to two additional children's party guests on the day without prior notification. The extra guests will be added to your final invoice and must be paid for by the party organizer.
CAKE | SWEET TABLE
The Party parent will provide the Birthday Cake and Candles (ordinary candles – sparklers and fountain candles are not permitted)
You can arrange your sweet table with cake and other sweets as well. No other food or beverage is allowed unless the OUTSIDE FOOD/BEVERAGE ALLOWANCE FEE IS PAID AHEAD OF TIME. We cannot accommodate (refrigerate/freeze/store aside) your cake and sweets.
FOOD CATERING AND PARTY EXTRAS
We understand that every party is unique, and estimating the food needed to serve your guests can be challenging. Party food orders are due 10 (ten) days before the event. Orders placed are final. Please understand that while we would like to give you more time, the Ball Factory has contractual obligations with its vendors. We cannot adjust them either. We can try to accommodate minor last-minute add-ons, but this is not guaranteed and depends on availability. Sorry, we will not accept same-day orders from our party food menu.

WE DO ALLOW OUTSIDE FOOD WITH AN ADDITIONAL FEE. Otherwise, no outside Food (except Birthday Cakes) or Drinks are to be brought into the Ball Factory.
ALL LEFTOVER FOOD/SWEET ITEMS MUST BE CONSUMED AND PACKED IN THE PARTY ROOM. NO CAKE or PARTY FOOD IS ALLOWED IN THE CAFÉ AREA.
PARTY ROOM SETUP
Based on the final kids count, tables and chairs will be allocated to your party room. Please refrain from placing additional tables in the room or rearranging the table settings to prevent damage and ensure safety measures are in place. Adult seating is subject to availability and is based on the final counts and required room arrangements. Additional guests may have to stand. Please adhere to the room capacity limits of each party. Headcount limits (adults/kids combined) vary per location and party package. Parents and Adults are welcome to hang out at the café area or play floor any time during the party! Café seating is limited and available on a first-come, first-served basis – no reservations are accepted.
DECORATIONS | THEMING | BALLOONS
You can use your basic decorations and themed paper products in the party room. However, to preserve the integrity of our party rooms, decorations are limited to TABLETOP DÉCOR ONLY. Freestanding decorations are allowed, but must be within reason to allow for quick clean-up during the scheduled party time.
We do not permit wall or ceiling decorations, streamers, silly string, confetti, banners, glitter, sprays, or piñatas. Nothing can be attached to furniture, doors, or door frames. No decorations are permitted on the walls of the party room, café, or play area, as they can cause damage.
Helium balloons must be attached to the weight.
PLEASE BE CONSIDERATE OF THE TIME – YOU HAVE 2 HOURS. All items used to assemble your event must be placed in your vehicle by the end of your scheduled time. NO PARTY DECOR IS ALLOWED IN THE CAFE AREA BEFORE, DURING, OR AFTER YOUR EVENT'S SCHEDULED TIME.
For custom setups, we offer SET-UP ALLOWANCE UPGRADES. We recommend party extensions for setups requiring additional time. Extensions are subject to availability and incur an extra cost. Please get in touch with us by phone or email to discuss your options.
HOST
Ball Factory party host will be dedicated to administering arrivals and organizing your party room time. The party host will set up and clean up the room. The party parent/guardian will be responsible for the care and supervision of all guests, including children left by their parents while attending your child’s party.

GIFTS are allowed in the party room. We do not recommend opening them, as you may run out of time quickly. Please be considerate, as we will not be able to extend your party time. You will need some time to help your guests leave the party room promptly at the end of your party, so that we can prepare for the next family. NO GIFTS IN THE CAFÉ AREA, no exceptions - ALL MUST BE PLACED IN YOUR VEHICLE WITHIN YOUR PARTY TIME FRAME.
GOODIE BAGS | FAVORS are allowed; however, they must be handed out to children when they leave the facility. Please do not hand it out at the end of the party if you know that the child will stay for open playtime. We do not allow toys/small items in the play area.
GENERAL
You are welcome to photograph/film your party; however, please respect the privacy of others and avoid photographing/filming in public areas.
The Party Organizer should inform Ball Factory of any food allergies so that we can discuss alternative options.
Each party guest will be given a party-specific wristband on entry. Guests must keep the band on throughout the party. Please advise our party hosts if your child has any potential allergic reaction to our wristbands.
All parents and guardians are required to supervise their children during the party. The Ball Factory cannot accept any responsibility for accidents resulting from unsupervised play.
WE DO ALLOW OUTSIDE FOOD WITH AN ADDITIONAL FEE. Otherwise, no outside Food (except Birthday Cakes) or Drinks are to be brought into the Ball Factory.

SOCKS | CLOTHING | STROLLERS
Please ask all guests to wear suitable, long-sleeved clothing when using our facilities, particularly when using our slides. Please have all children wear comfortable clothes with no glitter and confetti.
All guests (adults and children) must wear socks during their entire visit. Failure to do so will result in their inability to enter the play area floor and attractions. No shoes are allowed past the play floor entrance, even if not playing. Strollers (like shoes) are not permitted in the play area and are best left in your vehicle, as there is limited space in the stroller parking area or party room. We also do not allow strollers in the café area due to limited space. Please park them in the designated stroller area.
OUTSIDE SERVICES
Face painters and tattoo artists are prohibited at Ball Factory _ NO EXCEPTIONS.
Ball Factory must approve parties wishing to bring or use the services of companies supplying characters/mascots. A valid business registration and a public liability insurance certificate will be required at least 10 (ten) days before your party to allow participation. No Crafts, Horns, or musical equipment are permitted for the safety, cleanliness, and integrity of our services.
RULES OF PLAY
All visitors must adhere to the posted rules of play.
Some play areas are age-specific, and children over the specified height or age will not be permitted.
Children and adults must always wear socks on a play floor for hygiene and safety reasons.
